Planning a corporate event is like running a project — every task has dependencies, and delays cascade. After delivering 200+ events in Azerbaijan, we've distilled the process into a practical, month-by-month timeline that works for events of any scale.

📅 6 Months Before — Strategy Phase

  • ☐ Define event objectives and KPIs
  • ☐ Establish the overall budget
  • ☐ Choose the event format (conference, gala, product launch, hybrid)
  • ☐ Shortlist and book the venue
  • ☐ Select your event management partner
  • ☐ Set the date (avoid public holidays and competing events)

Why it matters: Top venues in Baku — Heydar Aliyev Center, Baku Convention Centre, Hilton — book 3–6 months ahead, especially during peak season (April–June, September–November).

📅 4 Months Before — Design Phase

  • ☐ Confirm speakers, performers, and moderators

📅 Event Day — Execution
